Our group of Software Engineers coupled with our finance team has as our mission “partnering with companies to promote efficiency through automation”. We’re driven by opportunities to improve productivity.

We have studied the commercial landscape of St. Lucia and wider Caribbean Region, looking at key processes and the management thereof to find alternatives that are more efficient, cost effective, user friendly with realistic return on investment (ROI). We believe that software is the only tool that can take companies to the next level where there is the drive to be more cost efficient, competitive and where decision making information needs to be readily available (in real time).

Two areas that have had our attention for the last three years and our development team have answered to challenges that many companies face when managing payroll and their HR departments.

Solution based approach

The difficulty with any manual payroll process is first the collection of data, the frequency and volume of times a person clocks in and clocks out from work. Next, the transferring of that data into a mathematical table to compute the total hours worked for any given period. The process continues where that information is used to compute wages/salaries with the added task of making provisions for statutory deductions, loans, allowances etc. Finally, are the reports, those that are required by the company and those that are required by law.

Companies have chosen many different approaches to tackle the problem; some have used off the shelf programs, MicroSoft Excel while others have retained manual systems.

Anyone of the above methodologies falls short of a completely automated system by virtue of not being able to compute the applicable taxes, not being able to produce the statutory reports, by relying on manual calculations and the transposition of data all of which hampers productivity. Productivity improvements through efficiency should be the goal of any automating initiative.

Our method/approach is to completely automate the payroll process. Here’s how we plan to get it done:

System Overview:

The system comprises of the merging of three separate but mutually interdependent functioning systems brought together by the speed of your company’s computer processor.

This fully computerized system needs almost no human intervention to process an entire payroll regardless of the number of employees.  This means that payroll information is kept confidential, is highly accurate, and is cost effective.

The prudence of automation will be realized in productivity gains (reduction in payroll man hours) as well as tangible savings (fewer errors). The system forces employees to be time conscious and that is key to realizing productivity improvements.

The Terminal – How it works?:

The terminal is the only visible hardware device with which the employees interact.  Their interaction with this device is no more than a three second user-friendly meeting.  The employee simply uses a plastic swipe badge or finger print every time he/she reports to work or leaves work.  The terminal stores all the information until polled (method by which the computer download information from the terminal). The terminal stores over 4,600 transactions and has a battery life of over 150 hours in the event that power fails.

The Software (terminal manager)

The software works directly with the terminal and gives the terminal its functionality.  The software is responsible for polling the terminal (extracting the “ins” and “outs” times) from the terminal.  The polled information is then stored on the PC clearing the terminal’s memory.  The stored information with the power of the software generates a myriad of reports to help you manage labor cost and employee attendance trends.

The payroll Software:

A Microsoft Windows based program, designed with all the features that makes a payroll process easy. A very user friendly program designed to ease the challenges of statutory reporting (PAYE, NIS-new format and the preparation of the employee’s TD4’s) as well as meeting the reporting requirements of companies where it’s installed. These reports may be part of our standard reporting suite or customized based on specific requirements.

The payroll program is packed with all these exciting features and more:

• End of year tax reporting - a simple click of a button produces your entire employee tax return reports to your employees on January 3^rd

• Tracking employee Loans

• Employee insurance claim tracking (group insurance policy)

• Automatic calculations of NIS & PAYE and produces reports as required by the statutory bodies

• Man-hour reporting - how much time it takes an individual or department to carry out their functions

• Employee salary bank allocation report.

• Points Manager (Hotel Industry)

Requirements:

• PC that meets the following specifications:

• Processor: 800 MHz or higher

• Memory: 64 MB

• Hard drive: 1 GB

• Modem: Zoom V.43 model 2836B or Zoom v.90 model 2949L (optional)

• Operating System: Win 98 or higher.

Options:
H2 Software plans to offer:

A.   Full rights purchase: The system is setup within the framework of the company’s payroll system. The client has two options

I.    H2 Software can be contracted to install, train, maintain and support the systems.

II.  The client is responsible for the installation, training and maintenance of the system.

B.  Leasing/Rental: The terminals and software can be leased or rented form H2 Software.  The details will be specified under the lease agreement.

Systems can be either:

• Connected via modem to payroll PC: used where company has many branches over a wide geographical area or where direct connection is not practical.

• Connected directly via RS232 or RS485 or CAT 5 cable

• Quick installation; as there are no wires or cables to install.
• Simple system to operate.
• Each security guard is given a wand (small and lightweight)
• All info is downloaded in to a computer for management reporting via a user-friendly software system.
• All points a marked off with RFID (Radio Frequency Identification) technology small token shaped points. Points can be concealed or made visible. Direct physical contact not necessary for data transfer.

How the system works?:

A tour of duty map is designed, marking specific check points and how often these points must be checked during a tour of duty. Each of the points is marked with a special device that requires no wires and further it can be made visible or concealed.

The security personnel is given a wand which he uses on his tour as he passes each check point he uses his wand to register his visit, by either placing the wand on the device or placing it in close proximity to the device.

Each visit is recorded on the wand and upon return to the base the data is downloaded to the computer. That information forms the basis of the reporting structure for all management reports.
